EDR Document Review Screen

The EDR Document Review screen is comprised of robust tools and features to assist users in filtering out duplicate and non-relevant documents and emails.

Steps to Access the Document Review Screen

Follow the steps below to access EDR Document Review  and conduct reviews on documents associated with the selected Request:

 (!!) Note: If documents have not been previously added to EDR, see the Adding Documents to EDR section. These instructions assume documents are present in EDR.

  1. Open the Request for which you want to access Electronic Document Review.

  2. Click Electronic Document Review from the Request Information screen.

  3. After clicking EDR Document Review, the Document Review screen displays (if documents have been added to EDR).

The Document Review interface is shown on the example All Documents tab in the image below:

 

The Document Review screen has four main areas, as described in the table below:

Filter and Search

Filter and search documents based on Review Status, Moved to DM Status, Exclude Documents, and Quick Search

Document List

List of all documents in the selected folder. Click the hyperlink under the Name column to view the document

Actions

Actions to take on the selected document. Actions include Add to Review Log, Add to Request Folder, Add to Review List, Tagging, Export, Compare, Containment Compare, and Data Sources

Tabs

Available views within Document Review. Selections include EDR Home, All Documents, Cluster Sets, Saved Searches, Review Lists, Indexing Log, and Reports

 

Filters and Search

The Filters & Search section has the following filter and search options available:

Option Description

Data Source

Data source to search, selected from the drop-down menu

Review Status

Filter by review status by selecting one or more available review statuses: Reviewed, Not Reviewed, Responsive, Not Responsive, and Further Review

Moved to DM Status

Filters documents based on whether they have been moved to Document Management: Selections are Moved and Not Moved

Exclude Documents

Filter by excluding documents: Selections are Exclude Contained and Exclude Duplicates

Quick Search

Perform a quick search using the drop-down to select a Search Item and inputting the search term in the provided text field. EDR Advanced Search options allow searching by Attributes, Keywords, and Email

Limit the Search Results

Select this option to limit the number of results returned when searching. Limiting results speeds up the process as there are fewer records for the system to process. If selected,

Number of Files to Return

Maximum number of files to be returned in the search results (if the Limit the Search Results option is selected)

Stop Searching After

Maximum number of results to be returned before the search is stopped (if the Limit the Search Results option is selected)

Actions

Clear all selections made under Filters & Search

Save the current search criteria to retrieve the search results at a later time

Search for documents using the currently entered criteria in the fields above

 

Document List

A list of all documents in the selected folder. The columns are described below:

Column

Description

Tagging

This column displays colors associated with the responsive statuses of the documents. See Tagging below.

Doc ID

The unique identification number assigned to each document.

Sent/Last Modified Date

This column displays two items based on the type of document listed. If the item is an email, the sent date displays. If the item is a document, the last modified date displays.

Name

The name of the document.

Dup

The number of duplicates the system has found for the document.

Cont

If applicable, this column will display one of two symbols: the contained symbol Contained, signifying that the document is represented by another document in the data set, or the container symbol Representative Document, meaning this document represents other documents.

Size

The size of the document in number of bytes.

 

Actions

The actions available under Document Review are described in the table below:

Add to Review Log

Add selected document(s) to the Review Log

Add to Request Folder

Add the selected document(s) to the Request folder

Add to Review List

Add the selected document(s) to the Review list

Tagging

Change tag of selected document(s). See Tagging, below.

Export

Export the selected document(s)

Compare

Compares two selected documents side-by-side. The Compare feature will highlight any matching, as well as non-matching text between the selected documents.

Containment Compare

Compares the selected document with the document that contains it. As with the Compare feature, matching text will be highlighted.

(!!) Note: Only documents marked as "contained" will be able to use this feature

Select from a list of available Data Sources

 

Tabs

The Tabs available under Document Review are described in the table below:

Tab Description

All Documents

View all documents contained in the selected folder(s)

Cluster Sets

View cluster sets of documents arranged according to the clustering options. See the Cluster Sets section for more information

Saved Searches

Any saved document searches associated with the user are listed. See the EDR Advanced Search section for more information

Review Lists

List of documents for review. Also allows you to add documents to the review log or the request folder. See Review Lists for more information

Indexing Log

Log of all indexing jobs associated with the selected folder(s). See the Indexing Log section for more information

Reports View Reports on the documents loaded into Electronic Document Review for the selected Request. See the EDR Reports section for more information

 


Tagging

Follow the steps below to add review tags to documents.

  1. Select the documents you want to tag, and then click Tagging, as shown below:

  2. The Tagging window displays as shown below.

  3. Select one of the following Tagging options:

    Option

    Description

    Only Selected

    This batch action will update all selected documents with a specific responsive status.

    All

    This batch action will update ALL documents in the data source with a specific responsive status.

  4. Select the new Review Status from the Review Status field. The available selections are Responsive, Not Responsive, and For Further Review.

  5. Select the Produce Native File checkbox to tag the document as needing to be produced in native format

 

Compare Documents

You can compare two documents side-by-side using the Compare feature in EDR. Follow the steps below to do a side-by-side compare of documents in EDR:

  1. Open a Request to which documents have been added, then click Electronic Document Review > EDR Document Review.

  2. From the Document Review section, use the checkboxes to select two documents you would like to compare. After selecting two documents, the Compare button will become available. Click Compare, as shown below:

  3. After clicking Compare, the Compare screen appears, as shown below:

  4. Use the Compare By drop-down menu to show highlighted compare text. The options are Matching Text to highlight matching text between the two documents (shown in green), Non-matching text to highlight the text between the two documents that does not match (shown in red), and Differences, highlighting the differences in text between the two documents.
